Overview: The Procurement Executive provides operational support in procurement activities including vendor communication, PO follow-ups, data entry, and documentation. The role ensures real-time coordination between the procurement team, vendors, and hospital departments, aiding in smooth materials flow and record maintenance.

Key Responsibilities & Tasks

  • Assist in preparing PRs, RFQs, and POs.
  • Update procurement logs and ERP systems with transaction details.
  • Follow up with vendors on order status, delivery, and documentation.
  • Organize and maintain purchase records, quotations, GRNs, and vendor communications.
  • Support digital and manual filing systems for audit readiness.
  • Communicate routine updates to vendors regarding orders and supply schedules.
  • Share product specifications and documentation as needed.
  • Inform stores of incoming goods and ensure correct receipts.
  • Assist in stock verification and discrepancy resolution.
  • Collect delivery notes and invoices for approval.
  • Coordinate with finance and procurement officer for payment follow-ups.
  • Any other duty assigned by the reporting manager.

Qualification & Experience:

  • Bachelors degree in: Pharmacy (B.Pharma), Science, Commerce, Business Administration
  • Diploma or certification in Materials Management, Supply Chain Management, or Hospital Administration.
  • Basic knowledge of hospital procurement standards, medical terminology, and inventory systems is an advantage.
  • 1-3 years of experience in procurement or materials management, preferably in a hospital, healthcare facility, or medical supply company
