- About the Role
We are seeking a high-caliber Executive Assistant (EA) to work directly with the Director across healthcare infrastructure, hospital consulting, and large-scale events. This role goes far beyond scheduling and admin. It is for someone who is ambitious, hyper-focused, and hungry for growth — someone who sees the EA role as a launchpad to become a Chief of Staff, Business Head, or even future CEO/Partner.
Key Responsibilities
- Strategic & Business Support
● Prepare briefing notes, competitor scans, and market intelligence ahead of meetings.
● Track progress of major projects (hospitals, medical colleges, H.O.CON sponsorships) and ensure deadlines are met.
● Consolidate updates from internal teams into daily/weekly actionable reports.
- Calendar & Priority Management
● Own the Director's calendar, travel, and meeting pipeline.
● Ensure every hour is aligned with high-value outcomes.
● Coordinate strategic connects with hospital owners, trustees, sponsors, and ministers.
- Execution & Coordination
● Act as a shadow project manager — following up, driving deadlines, and escalating delays.
● Ensure speed of execution across ventures and projects.
- Travel & Representation
● Accompany the Director on national and international travel for meetings, events, and projects.
● Independently represent the Director in select meetings and site visits when required.
● Manage complete travel logistics (visas, tickets, hotels, itineraries).
- Communication & Brand Support
● Draft/review emails, proposals, presentations, and LinkedIn content.
● Work with PR, design, and event agencies to ensure a consistent, premium brand image.
● Support the Director's LinkedIn/networking growth.
- Operational Efficiency
● Manage contracts, MoUs, and key documentation.
● Maintain a knowledge base of clients, partners, and opportunities.
● Create SOPs for recurring tasks.
