Job Purpose

The DGM Contracts & Claims will be responsible for managing the end-to-end contracting

process for technical services and works within the organization. This role ensures

transparency, compliance, and efficiency in sourcing, evaluating, negotiating, and finalizing

contracts in alignment with business requirements. The incumbent will also be responsible

for claims assessment and resolution while ensuring adherence to organizational policies,

technical standards, and regulatory requirements

Key Accountabilities

Requisition & Requirement Analysis



Receive requisitions for technical services/works from Projects and Planning &

Estimation teams, including BOQ, specifications, and other technical details.



Ensure completeness and clarity of requisition documents before initiating the

sourcing process

Sourcing & Vendor Evaluation



Seek and receive quotations from empaneled or new contractors based on the

provided specifications and BOQ.

Conduct market research to identify potential contractors and compare pricing,

quality, and service standards.

Technical Due Diligence & Shortlisting







Conduct a detailed assessment of contractor capabilities, ensuring alignment with

technical specifications, BOQ, and project requirements.

Evaluate past performance, financial stability, technical expertise, and compliance

history of vendors.

Prepare a shortlist of qualified contractors based on the due diligence findings

Technical Assessment Committee Coordination



Convene the Technical Assessment Committee (TAC), ensuring participation of key

members including Technical Head, Commercial Head and CFO - chaired by the

Managing Director (MD). Ensure all discussions and approvals follow the Process

Map and Process Guidelines.



Present assessment reports, comparative analysis, and negotiation outcomes to the

TAC for final decision-making.

Final Negotiation & Contract Closure



Execute final negotiations as per the decisions of the Technical Assessment

Committee.





Ensure all contract terms are finalized, documented, and legally compliant.

Obtain internal approvals and sign-offs before finalizing agreements.

Contract Execution & Work Order Issuance







Complete the contracting process, ensuring all legal, financial, and technical clauses

are incorporated.

Issue Work Orders (WO) to selected contractors with clearly defined scope,

deliverables, payment terms, and performance benchmarks.

Ensure that work commencement and execution align with contractual terms.

Claims Management & Dispute Resolution



Proactively identify and address claims arising from contract breaches, delays, or

damages



Receive claims raised by contractors related to contract performance, additional

work, delays, or disputes.







Conduct thorough assessment and validation of claims as per process guidelines.

Seek approval from concerned Project Site In-charges and VP Technical.

Forward validated claims to Accounts with a copy to the Commercial department for

processing and payment.



Maintain detailed records of claims and disputes, ensuring a thorough understanding

of each situation and a consistent approach to resolution.

Compliance and Regulatory Adherence



Ensure that all contracts comply with relevant laws, regulations, and industry

standards.



Work with internal and external stakeholders to ensure contracts meet regulatory

requirements, such as RERA (Real Estate Regulatory Authority) compliance.

Reporting and Documentation













Prepare daily and monthly progress reports for submission to corporate, tracking

billing and site progress.

Document and maintain an up-to-date billing register and billing-related

documentation in alignment with company policies.

Support the preparation of monthly labor and material reconciliations for corporate

review, ensuring accurate project cost tracking.

Document any deviations or modifications in work scope and prepare additional

billing as required, following client approval and internal policies.

Prepare regular reports for senior management, outlining contract statuses,

potential risks, claims, and dispute resolutions.

Develop and implement best practices for contract management and documentation

to improve efficiency and transparency

Job Specifications

Educational Qualifications

Relevant Experience



Bachelors degree in law,

Business Administration, or a

related field. A master's degree

or certification in Contract

Management, such as CPCM

or CFCM, is preferred.





Minimum of 15 years of experience in contract

management, procurement, claims validation,

and vendor negotiations within the real estate,

construction, or infrastructure sector

Proven experience in drafting, negotiating,

and managing complex contracts and

handling claims and disputes.

Skills and Knowledge

Technical Skills:



Strong understanding of contract law, regulatory compliance, and claims

management in the real estate and construction industries.



Proficiency in using contract management software and tools for efficient

documentation and tracking.

Behavioral Skills:









Excellent communication and negotiation skills to manage vendor and stakeholder

interactions effectively.

Strong analytical and problem-solving abilities to address complex contractual

issues and resolve disputes.

Ability to manage multiple contracts, prioritize tasks, and meet deadlines in a fast-

paced environment.

Attention to detail and strong organizational skills to maintain accurate records and

support efficient contract management processes.
