Administrative Coordinator

We are seeking a proactive Operations/Admin Coordinator to support day-to-day business operations, including order processing, client communication, vendor coordination, and reporting. This role is critical in ensuring smooth workflow and providing the owner with accurate information for decision-making.
- Key ResponsibilitiesOrder & Client Management
- Prepare and issue quotations, order confirmations, and dispatch notes.
- Follow up with clients on approvals, delivery schedules, and payments.
- Maintain CRM / Excel tracker of inquiries, orders, and deliveries.
- Vendor & Production Coordination
- Liaise with suppliers for material status and delivery timelines.
- Assist production team in scheduling jobs based on client orders.
- Track job completion and ensure timely dispatch.
- Accounts & Reporting
- Maintain records of receivables and payables in coordination with Accounts.
- Generate weekly cash flow and outstanding reports.
- Support in reconciliation of client/vendor ledgers.
- Administration & Documentation
- Keep records of purchase orders, invoices, delivery challans.
- Prepare MIS dashboards (Orders booked, dispatched, payments received).
- Support compliance/documentation requirements as needed.
- Skills & QualificationsGraduate in Commerce/Business Administration/Engineering (preferred).
- 2–4 years of experience in operations, sales coordination, or admin role.
- Strong organizational & follow-up skills.
- Proficient in MS Office (Excel, Word, Outlook); knowledge of ERP/CRM is a plus.
- Good communication skills in English and [local language].
- Ability to multitask and work independently with attention to detail.
