Executive Assistant

Job Overview:
The Executive Assistant to the Managing Director will provide high-level administrative, organizational, and operational support to the MD. The role requires exceptional communication skills, attention to detail, confidentiality, and the ability to manage multiple priorities efficiently. The ideal candidate will act as the right hand to the MD, ensuring smooth coordination, time management, and execution of key business activities.
Key Responsibilities:
1. Administrative Support:
- Manage the MDs calendar, appointments, and travel schedules (domestic and international).
- Prepare and organize meeting agendas, minutes, and follow-ups.
- Handle confidential correspondence, documents, and reports with discretion.
- Maintain systematic filing and documentation for easy access and record-keeping.
2. Communication & Coordination:
- Act as the primary point of contact between the MD and internal/external stakeholders.
- Draft, proofread, and manage emails, letters, memos, and other communications.
- Coordinate with department heads and teams to ensure timely submission of reports and updates.
- Liaise with clients, partners, and vendors on behalf of the MD when required.
3. Project & Task Management:
- Track ongoing projects, deadlines, and action points assigned by the MD.
- Assist in research, data compilation, and preparing presentations for meetings.
- Monitor key deliverables and ensure follow-ups are completed on time.
4. Event & Meeting Management:
- Organize internal and external meetings, conferences, and corporate events.
- Coordinate logistics such as venue booking, catering, materials, and guest arrangements.
- Prepare briefing documents and presentations for MD's participation in meetings or events.
5. Personal Assistance:
- Support the MD with personal or administrative errands as required.
- Handle travel bookings, accommodation, and personal appointments when requested.
Required Skills & Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- 3–6 years of experience as an Executive Assistant, preferably supporting senior leadership.
- Strong written and verbal communication skills in English.
- Excellent organizational and multitasking abilities.
- High level of discretion, integrity, and professionalism.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Ability to work under pressure and handle sensitive information.
