**Responsibilities**
- Provide administrative support to the Exec Dir & MD, including managing calendars, scheduling appointments, and arranging meetings.
- Coordinate travel arrangements, including flight bookings, hotel accommodations, transportation arrangements and process expense reports.
- Prepare and edit correspondence, presentations, and reports as required.
- Act as the primary point of contact for internal and external stakeholders, including visitors.
- Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents.
- Assist in preparing agendas and taking minutes during meetings, as well as follow-up on action items.
- Handle confidential information with discretion and always maintain confidentiality.
- Assist in organizing company events, conferences, and seminars, including logistics, catering, and materials preparation.
- Collaborate with other administrative staff to ensure seamless operations and support across departments.
- Support the admin manager in keeping accurate stock of office supplies and placing timely orders whenever needed.
- Co-ordination with manager and procurement team for purchase requests.
- Support the staffing team when required for interview scheduling and the administration team in office administration related activities.
**Requirements**:
- Proven experience as an Executive Assistant, Secretary, or similar role, preferably supporting senior executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels.
- High degree of discretion and confidentiality, with the ability to handle sensitive information appropriately.
- Detail-oriented with a commitment to accuracy in all tasks.
- Ability to work independently with mínimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
**Qualification & Experience**
- Bachelor’s degree in business administration, Secretarial studies, or a related field is preferred.
- 8+ years of relevant work experience
