**Job Summary**:
**Key Responsibilities**:
- **Executive Support**:
- Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Coordinate and manage internal and external communications on behalf of the executive.
- **Accounting & Financial Management**:
- Assist with day-to-day accounting tasks, including invoicing, payments, expense reports, and financial record keeping.
- Monitor and manage accounts payable/receivable, and ensure timely payment processing.
- Support in budgeting and financial planning by compiling data and preparing reports.
- Reconcile financial discrepancies by collecting and analyzing account information.
- **Advanced Excel & Data Management**:
- Utilize **advanced Excel** features (VLOOKUP, Pivot Tables, Macros, and complex formulas) to create and manage financial reports, forecasts, and data analysis.
- Develop and maintain financial models, dashboards, and reporting templates to provide insights and support decision-making processes.
- Analyze large data sets and ensure data accuracy and integrity.
- **Client Handling & Relationship Management**:
- Serve as the primary point of contact for key clients, addressing inquiries, providing information, and resolving issues promptly and professionally.
- Manage and maintain positive client relationships by providing excellent service and ensuring client satisfaction.
- Assist in preparing and sending out client proposals, contracts, and financial statements.
- Coordinate client meetings, presentations, and follow-ups to ensure timely communication and deliverables.
- **Operational Support**:
- Assist in coordinating office operations and ensure smooth administrative processes within the team.
- Handle confidential and sensitive information with discretion.
- Perform other ad hoc tasks as requested by the executive or management team.
**Qualifications and Skills**:
- **Educational Background**: Bachelor’s degree in **Accounting, Finance, Business Administration**, or a related field preferred.
- **Experience**:
- Minimum of 0-2 years of experience as an Executive Assistant or in a similar role.
- Strong accounting/bookkeeping skills with experience in managing financial records and processes.
- Proven experience in **advanced Excel** (pivot tables, VLOOKUP, macros, etc.).
- Experience in handling and managing client interactions, both in person and remotely.
- **Technical Skills**:
- Proficiency in **Microsoft Office Suite**, particularly **Excel** and **PowerPoint**.
- Experience with **accounting software** (e.g., QuickBooks, SAP, or similar).
- Strong data management and analytical skills.
- **Key Attributes**:
- Excellent organizational and time-management skills.
- Strong attention to detail and ability to multitask.
- Exceptional communication and interpersonal skills, with the ability to build strong client relationships.
- Problem-solving mindset and the ability to work independently under pressure.
