Job Title**:Executive Secretary**

**Duty timing 9:30 am to 6:30 pm**

**Job Overview**:An executive secretary provides high-level administrative support to executives, facilitating efficient office operations. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

**Key Responsibilities**:

- Administrative Support:

- Manage executives’ calendars, scheduling appointments, and coordinating meetings.
- Prepare and edit correspondence, reports, and presentations.
- Handle travel arrangements and itineraries for executives.

**Communication**:

- Serve as the point of contact between executives and internal/external stakeholders.
- Answer and direct phone calls, responding to inquiries as appropriate.

Maintain confidentiality of sensitive information.

**Documentation and Record Keeping**:

- Organize and maintain files, records, and documentation, both electronic and paper.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist in preparing financial and budget reports.

**Project Coordination**:

- Support project management by coordinating tasks and tracking progress.
- Collaborate with other departments to ensure project deadlines are met.

**Office Management**:

- Order office supplies and manage inventory.
- Coordinate office maintenance and manage relationships with service providers.

**Event Planning**:

- Organize and coordinate company events, conferences, and meetings.
- Handle logistics, catering, and communication for events.

Required Skills and Qualifications:
**Education**: 10, 10+2 or above

**Experience**: 3-5 years of experience in an administrative role, preferably supporting senior executives.

**Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software; familiarity with office equipment.

**Communication Skills**: Excellent verbal and written communication skills; ability to interact professionally with various stakeholders.

**Organizational Skills**: Strong organizational and time-management skills; ability to prioritize tasks effectively.

**Problem-Solving**: Ability to handle complex situations and make decisions independently.

**Confidentiality**: High level of discretion and confidentiality in handling sensitive information.

**Working Conditions**:

- Typically works in an office environment.
- May require extended hours or flexibility to accommodate executives' schedules.
