**Job Title: Operations Executive - Floral Boutique**
**Responsibilities**:
As an Operations Executive at Floral Boutique, you will play a critical role in managing the flow of orders, ensuring timely delivery, and maintaining seamless operations. You will work directly with clients, oversee order dispatches, and ensure that the entire process runs smoothly. This position requires excellent organizational skills, a proactive attitude, and a strong focus on customer satisfaction. Here are the key responsibilities for this role:
1. **Order Management & Dispatch**:
- Oversee the entire process of order dispatch from receipt to delivery, ensuring accuracy and timeliness.
- Monitor incoming orders and verify order details to ensure correctness before processing.
- Coordinate with the production team to ensure all products are ready for dispatch as per customer specifications.
2. **Client Communication & Relationship Management**:
- Communicate with clients to understand their needs, providing recommendations, updates, and information regarding their orders.
- Ensure excellent customer service by addressing inquiries, resolving issues, and ensuring that customer expectations are met.
- Keep clients informed about the status of their orders, especially for last-minute or urgent deliveries.
3. **Delivery Coordination & Timeliness**:
- Ensure that all orders are delivered on time, working closely with delivery teams to monitor the progress of each delivery.
- Address and resolve any issues or delays with deliveries, coordinating any necessary adjustments to maintain customer satisfaction.
- Track and maintain delivery schedules to ensure a smooth flow of operations.
4. **Inventory and Stock Management**:
- Assist in inventory management to ensure that products are available for dispatch and adequately stocked.
- Regularly monitor inventory levels and collaborate with the purchasing team to order supplies as needed.
- Conduct regular checks to ensure the quality and freshness of products before they are dispatched.
5. **Process Optimization & Operations Efficiency**:
- Continuously analyze and optimize operations processes to improve delivery times and efficiency.
- Identify areas for process improvement, proposing and implementing solutions to streamline workflows and minimize delays.
- Regularly evaluate the effectiveness of the dispatch process and suggest changes where needed to enhance operations.
6. **Problem Solving & Conflict Resolution**:
- Resolve any operational issues that may arise, such as order discrepancies, late deliveries, or client concerns.
- Proactively identify potential problems before they occur and take action to avoid disruptions to operations.
- Work collaboratively with other departments, such as sales and marketing, to find effective solutions for any operational challenges.
7. **Learning & Development**:
- Stay open to learning and adapt quickly to any new developments or technologies that can improve operational efficiency.
- Participate in training and development sessions to keep up with industry trends, product updates, and operational tools.
- Continuously improve your skills and knowledge of the floral industry to better support the team and clients.
8. **Reporting & Data Management**:
- Maintain accurate records of orders, deliveries, and client communications.
- Provide regular updates and reports to senior management on order status, delivery metrics, and any issues that may require attention.
- Help develop and track KPIs (Key Performance Indicators) to ensure operational goals are being met.
9. **Team Collaboration**:
- Work closely with sales, marketing, and floral design teams to ensure that client needs are met, and orders are executed as planned.
- Participate in team meetings, sharing insights and providing feedback to improve cross-departmental operations.
**Skills and Qualifications**:
- Strong organizational skills with a keen eye for detail.
- Excellent communication skills, both verbal and written.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficient in using order management systems and MS Office.
- Strong problem-solving abilities with the ability to make quick decisions.
- Previous experience in operations, logistics, or customer service is preferred.
- Passion for the floral industry and a willingness to learn new skills and processes.
**Working Hours**:
- Full-time position, with flexibility to work weekends or evenings as needed during peak seasons.
**Job Types**: Full-time, Permanent
Pay: ₹11,653.09 - ₹34,284.74 per month
