**ADMIN ASSISTANT**
Location: Malad, Mumbai
Reporting To: Director
**Job Summary**:
**Key Responsibilities**:
1. Property & Admin Work:
- Maintain detailed records and documentation related to property ownership, lease agreements, AMC, utility bills, property taxes, etc.
- Liaise with property agents, legal advisors, government/revenue departments, and vendors as needed.
- Coordinate property inspections, repair/maintenance work, and ensure timely renewals of contracts and compliances.
- Draft and review basic agreements, letters, and documents related to property and administration.
2. Accounts & Filing:
- Assist in preparing vouchers, invoices, and petty cash handling.
- Support monthly expense tracking and vendor payment follow-ups.
- Maintain organized physical and digital filing systems (bills, approvals, contracts, correspondence, etc.).
3. Data Entry & Documentation:
- Enter and update data in spreadsheets, ERP, and Google Sheets.
- Maintain registers/logs for staff movement, visitors, courier records, etc.
4. Director’s Personal/Admin Work:
- Provide administrative and coordination support to the Director including scheduling, follow-ups, and document handling.
- Assist in travel bookings, filing personal records, and handling miscellaneous requirements as instructed.
5. Coordination & Communication:
- Liaise with the factory or other locations for administrative coordination or document delivery.
- Act as a point of contact for internal departments for admin or property-related follow-ups.
6. Travel (as required):
- Occasionally visit the factory, government offices, or other external locations for inspections, meetings, or official work on behalf of the Director/Admin Dept.
**Requirements**:
- 2-4 years of experience in administrative roles with exposure to property and real estate handling.
- Prior experience with legal documentation, drafting letters/agreements, and dealing with revenue departments is a strong advantage.
- Good understanding of basic accounts and office filing systems.
- Proficient in MS Office (especially Excel) and Google Workspace.
- Strong communication and interpersonal skills (written & verbal).
- Must be reliable, discreet, and capable of managing confidential information.
- Fluency in Marathi (spoken and written) is mandatory.
- Willingness to travel occasionally based on work needs.
Pay: ₹25,000.00 - ₹30,000.00 per month
