Job Summary:
Key Responsibilities:
- Calendar Management:
- Manage and maintain the executive’s schedule, including organizing meetings, appointments, and travel arrangements.
- Coordinate and prioritize daily activities, ensuring optimal use of the executive's time.
- Communication:
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Handle confidential information with discretion.
- Meeting Coordination:
- Plan, organize, and prepare materials for meetings, including agendas, presentations, and follow-up notes.
- Attend meetings to take minutes and track action items as needed.
- Travel Arrangements:
- Arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings.
- Project Support:
- Assist with the planning and execution of special projects and initiatives.
- Conduct research, compile data, and prepare reports or presentations as required.
- Office Management:
- Oversee the organization and maintenance of the executive office and related administrative functions.
- Order supplies and manage office equipment as necessary.
- Financial Administration:
- Process expense reports, invoices, and budget tracking for the executive team.
- Assist with the preparation and management of budgets.
- Relationship Management:
- Build and maintain strong relationships with internal teams and external partners.
- Represent the executive in a professional manner in all interactions.
Qualifications:
- Bachelor’s degree in Business Administration or related field preferred.
- 3-5 years of experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and handle multiple tasks with a high level of accuracy.
- Discretion and confidentiality in handling sensitive information.
Preferred Skills:
- Experience in Biotech / Marketing Industry Would be preferred.
- Familiarity with project management tools and software.
- Strong problem-solving skills and ability to anticipate needs.
