As part of our expansion, we are seeking a highly organized and proactive Personal Assistant to support our Business Development Manager.
**Role Overview**: As the Personal Assistant to the Business Development Manager, you will play a crucial role in providing administrative and organizational support to ensure the smooth functioning of the business development activities. You will be responsible for managing the Manager's schedule, coordinating meetings, handling correspondence, and assisting in various business development tasks.
**Responsibilities**:
- **Calendar Management**:
- Manage the Business Development Manager's calendar, scheduling appointments, meetings, and travel arrangements.
- Prioritize and coordinate appointments, ensuring efficient use of time.
- **Communication**:
- Draft and prepare correspondence, reports, presentations, and other documents as required.
- **Meeting Coordination**:
- Organize and coordinate meetings, including booking venues, preparing agendas, distributing materials, and taking minutes.
- Ensure timely follow-up on action items and decisions from meetings.
- **Document Management**:
- Maintain and organize files, records, and documents related to business development activities.
- Assist in the preparation and submission of proposals, contracts, and other documentation.
- **Research and Analysis**:
- Conduct research on industry trends, market opportunities, and potential clients.
- Compile data, prepare reports, and assist in analysing market insights to support business development strategies.
- **Support BD Activities**:
- Assist in the development and implementation of business development plans and strategies.
- Collaborate with internal teams to coordinate marketing campaigns, events, and promotional activities.
- **Client Relationship Management**:
- Support in maintaining and nurturing client relationships through regular communication and follow-up.
- Assist in preparing client presentations, proposals, and pitches.
- **Administrative Support**:
- Provide general administrative support, including managing expenses, processing invoices, and maintaining office supplies.
**Qualifications**:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior management or business development functions.
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Excellent communication and interpersonal skills, with a professional and courteous demeanor.
- Attention to detail and accuracy in document preparation and data management.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Bachelor's degree in Business Administration, Marketing, or related field is preferred.
