This dual-role individual is responsible for handling administrative tasks, supporting management, facilitating communication across departments, and coordinating with customers to build strong relationships. From organizing meetings and managing schedules to customer outreach and data processing, this role is integral to the success of the organization.
**Key ResponsibilitiesCustomer Coordination**
- Serve as the primary point of contact for customers, addressing inquiries and resolving issues promptly.
- Make calls to prospects and existing customers to introduce services or products and provide support.
- Schedule and coordinate client meetings, ensuring follow-ups and timely communication.
- Maintain detailed customer records and track interactions to enhance customer satisfaction.
- Identify and create new prospects for website development, SEO services, or both.
- Contact prospects, introduce services, and schedule meetings to discuss their needs.
- Understand the basics of WordPress websites to assist in communicating with prospects effectively.
**General Office Management**
- Maintain a well-organized and efficient office environment.
- Ensure office supplies are stocked and equipment is functioning properly.
**Administrative Support**
- Assist with day-to-day administrative tasks for team members and management.
- Prepare and distribute correspondence, reports, and meeting materials.
**Record Keeping and Filing**
- Maintain accurate and up-to-date records, both digital and physical.
- Manage sensitive documents with confidentiality and efficiency.
**Financial and Data Processing**
- Process invoices, payments, and expense reports.
- Enter and manage data to support financial reporting and other operational needs.
**Coordination and Communication**
- Serve as the central point of contact for interdepartmental communication.
- Coordinate meetings, events, and schedules across the team.
- Assist in understanding and facilitating tasks related to website development and SEO services, including coordinating with developers or SEO specialists as needed.
**Support to Management**
- Provide direct assistance to management in organizing priorities and achieving objectives.
- Anticipate and resolve administrative and customer-related needs proactively.
**Working Conditions**
