
Front Office Admin Executive

**Key Responsibilities**:
**Front Desk Management**:
- Greet and welcome visitors in a courteous and professional manner.
- Manage incoming calls, redirect them appropriately, and take accurate messages when necessary.
- Maintain cleanliness and tidiness of the front office area.
**Administrative Support**:
- Assist in scheduling meetings, appointments, and travel arrangements for staff.
- Maintain office supplies inventory and place orders as needed.
**Vendor Management**:
- Coordinate with vendors for various office requirements, including stationery, equipment maintenance, and other services.
- Follow up on vendor invoices, ensuring timely payments and resolving any discrepancies.
**Communication**:
- Serve as a liaison between internal departments and external parties.
- Communicate effectively with team members and stakeholders, both verbally and in writing.
**Record Keeping**:
- Maintain accurate and up-to-date records of office expenses, visitor logs, and other relevant documentation.
- Assist in compiling reports and presentations as requested.
**Qualifications**:
- Minimum of 2 years of experience in a similar role.
- Excellent verbal and written communication skills.
- Proficient in MS Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Attention to detail and high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive approach to problem-solving and task management.
