LLC Group operates across **London and Miami**, delivering high-quality painting, decorating, cleaning, and specialist fit-out services to major residential and commercial developments. With a growing portfolio and cross-border teams, the Founder & Director is looking for a **Senior Executive Assistant** to help orchestrate operations, manage daily priorities, and ensure project deadlines are met.

**Role Overview**

As a **Senior Executive Assistant**, you will be the operational backbone to the Director — ensuring key communications, project follow-ups, and deliverables across the UK, US, and India are seamlessly executed. You must be experienced in supporting C-suite or Founder-level executives, adept at working across time zones, and comfortable navigating fast-moving business environments with mínimal guidance.

**Key Responsibilities**

**1. Executive Support**
- Manage the Director’s dynamic calendar, including scheduling across UK, US, and IST time zones.
- Prepare agendas, meeting notes, and briefing materials; handle confidential documents professionally.

**2. Operations & Project Tracking**
- Coordinate with Project Managers, Quantity Surveyors, Estimators, and Sales Teams.
- Monitor project deliverables and checklists — site reports, safety packs, variation logs, aftercare tasks.
- Ensure all departments submit updates, valuations, and reports on time.

**3. Cross-Team Communication**
- Act as a direct bridge between Director and all departments, ensuring clarity of instructions and deadlines.
- Prepare internal performance dashboards and status summaries for team reviews.

**4. Process & Documentation Oversight**
- Maintain organised digital records for tenders, contracts, checklists, and valuations.
- Oversee document submission for health & safety, weekly reports, and damage claim preparation.

**5. Technology & Automation**
- Leverage tools likeMicrosoft Exchange, Teams, Chatgpt, Acrobat PDF, Trello, Dropbox, and WhatsApp Business to streamline workflows.
- Promote adoption of online document signing and SOP-driven operations.
- **Minimum 5 years’ experience** as an Executive Assistant or Business Manager to a Director/CEO
- Experience working across international time zones and remote teams
- Background in supporting real estate, construction, or fast-growing entrepreneurial businesses is preferred
- Strong organisational skills, proactive follow-through, and ability to “manage up”
- Excellent English communication skills — written and verbal
- Comfortable working in a fast-paced, high-accountability environment
- Highly tech-savvy with tools like GSuite, Slack, Notion, Airtable, Trello, Zoom, and e-signing platforms

**Working Hours**
- Primarily **1 PM - 9 PM IST**, with flexibility for urgent cross-time zone requirements
