The Office Administration Executive for Documentation is responsible for providing administrative and clerical support to the Tendering Department. This includes a wide range of tasks, such as:

- Assisting with the preparation and submission of tender documents
- Managing the tender database
- Maintaining tender files
- Communicating with tenderers and other stakeholders
- Providing administrative support to the Tendering Manager

**Essential Duties and Responsibilities**:

- Assist with the preparation and submission of tender documents, including: Gathering and compiling required information Proofreading and editing documents.
- Submitting documents on time and in accordance with tender requirements
- Manage the tender database, including: Entering and updating tender information
- Generating reports Providing access to the database to authorized users
- Maintain tender files, including: Organizing and filing tender documents Archiving completed tenders Providing access to files to authorized users
- Communicate with tenderers and other stakeholders, including: Responding to inquiries Providing clarifications Coordinating meetings and site visits.
- Provide administrative support to the Tendering Manager, including: Scheduling appointments.
- Preparing presentations and reports.
- Managing correspondence.
- Other administrative tasks as required

**Qualifications**:

- Bachelor's/Management degree or a related field.
- 3+ years of experience as an executive assistant or in a similar role.
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Proficient in Microsoft Office Suite and other office software
- Ability to work independently and as part of a team
