Executive Assistant to Cmd

**Roles & Responsibility**:
**1. Calendar & Diary Management**
- Manage and maintain the MD & CMD’s calendar, organizing meetings, appointments, and travel arrangements
- Ensure effective day-to-day planning by prioritizing tasks, events, and meetings based on the MD & CMD’s agenda
- Coordinate and schedule meetings, ensuring all necessary documents and materials are prepared in advance
**2. Task Management & Follow-Up**
- Track all tasks assigned by the CMD to various departments and individuals, ensuring timely completion
- Follow up on tasks and action items, especially those arising from Minutes of Meetings (MOM), to guarantee they are addressed within specified deadlines
- Maintain a tracking system for pending and completed tasks, regularly updating the CMD on progress
**3. Cross-Departmental Collaboration**
- Work closely with various departments to facilitate smooth communication and ensure that the CMD’s directives are executed efficiently
- Assist in aligning cross-functional teams with the CMD’s strategic goals and ensuring follow-through on key initiatives
- Will update JD of the respective managers related to CMD
**4. Minutes of Meeting (MOM) Preparation & Follow-Up**
- Attend and record MOM during key meetings, documenting action items, timelines, and responsible stakeholders
- Follow up on tasks and decisions made during meetings, ensuring they are executed and deadlines are met
**5. Thoughtpage & Strategic Document Maintenance**
- Assist in creating and updating the CMD’s Thoughtpage, documenting strategic ideas, long-term objectives, and actionable plans
- Ensure the Thoughtpage is regularly reviewed and updated based on the CMD’s direction and evolving business needs
**6. Performance Management System (PMS) Software Management**
- Oversee the management and timely updates of the PMS Software, ensuring that performance evaluations are conducted as per schedule
- Coordinate with HR and other departments to ensure accurate and timely input of performance-related data in the PMS system
- Prepare reports and summaries for the CMD based on PMS data and performance trends
**7. Compliance Monitoring**
- Follow up with teams to ensure compliance with SOPs and that processes are streamlined according to the CMD’s directives
**8. HOD Reporting Structure & Coordination**
- Establish and maintain a clear HOD reporting structure, ensuring that all department heads submit reports on time and in the correct format
- Regularly coordinate with HODs to ensure timely and accurate submission of reports, highlighting key metrics and updates for the MD & CMD’s review
- Act as a liaison between the MD & CMD and HODs for task assignments, feedback, and reporting update
**9. Meeting & Day Planning**
- Plan and organize the MD & CMD’s daily and weekly schedules, ensuring that important meetings and events are prioritized
- Ensure the MD & CMD is fully briefed on agendas, background materials, and key topics ahead of meetings
- Coordinate any last-minute adjustments to the MD & CMD’s schedule, making sure any conflicts are resolved swiftly
**Qualification & Desired Skills**:
- Minimum of 3.5+ years of experience as an Executive Assistant reporting directly to senior management
- Graduation( Any Specialisation)
- Good command on English Language is must
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills
- Friendly and professional demeanor
Pay: ₹40,000.00 - ₹60,000.00 per month
