JD: OFFICE ADMINISTRATOR
1. Front Desk
- Greet guest when they arrive at the office
- Notify company personnel of visitor’s arrival
- Direct visitors to the appropriate person and office - Complete procedures when Visitors arrive and leave
- Answer, screen and forward incoming phone calls
- Take and ensure messages are passed to the appropriate staff member
- Ensure the Reception area is tidy and presentable
2. Office administration
- Sort and distribute mail
- Receive and dispatch deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Maintain office services as required (such as cleaners and maintenance companies)
- Record inventory of raw material and consumables.
- Maintain triggers for re-order of stocks and ensure replenishment
- Monitor shelf life of stock and adhere to FIFO practices
3. Assist Accounts Department
- Prepare invoices and generate the required documents for Customer dispatch
- Responsible for incorporating accurate pricing and terms as per the Purchase Order, while processing bills.
- Responsible for reporting discrepancies in the billing process
4. General Administration
- Perform ad-hoc administration and secretarial duties
- Manage Office Attendants
- Supervises Drivers schedules, travel logs and vehicle record keeping
