**Job Title**: Admin & Operations Executive
**Location**: Gurugram, India
**Department**: Operations
**Reports To**: Operations Head
**Job Summary**:
**Key Responsibilities**:
**1. Vendor & Procurement Management**
- Coordinate with vendors for quotations, negotiations, and purchase orders.
- Track and maintain records of material orders and deliveries.
- Ensure procurement aligns with project timelines and cost-effectiveness.
**2. Site & Project Coordination**
- Oversee installation and commissioning schedules for mobility solutions.
- Track ongoing Annual Maintenance Contracts (AMCs) and follow up on renewals.
- Liaise with technicians, contractors, and project managers for smooth site execution.
- Maintain a structured record of site prerequisites, material dispatches, and vendor SLAs.
**3. Administrative Support & Office Management**
- Handle daily administrative tasks such as documentation, scheduling, and logistics.
- Maintain records of fixed assets, facility management, and office supplies.
- Coordinate meeting arrangements, training sessions, and official correspondence.
- Oversee utility logs (electricity, water, and office maintenance) and track consumables.
**4. Documentation & Compliance**
- Maintain accurate records of all purchase orders, vendor contracts, and invoices.
- Ensure compliance with company policies and regulatory requirements.
- 5. Internal & External Communication
- Act as a point of contact between the admin and operations teams.
- Coordinate with internal teams for meeting logistics, induction processes, and facility support.
**Key Skills & Qualifications**:
- Bachelor’s degree in Business Administration, Operations, or a related field.
- 2+ years of experience in administrative or operational roles.
- Strong coordination, problem-solving, and multitasking abilities.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Suite.
- Familiarity with procurement, vendor management, and site logistics is a plus.
- Excellent verbal and written communication skills.
- Ability to work under tight deadlines and prioritize tasks effectively.
