Client Servicing Coordinator

**Job Summary**:
The Client Servicing Coordinator will work closely with the Client Servicing Executive to ensure smooth communication between clients and the event planning team. This role will assist in understanding client needs, managing event details, coordinating with internal teams, and ensuring that all client requests are addressed promptly and efficiently. The Client Servicing Coordinator will play a key role in supporting the overall client experience and helping to deliver successful events.
**Key Responsibilities**:
- **Client Interaction**: Assist in client communications by scheduling meetings, following up on inquiries, and addressing initial client concerns.
- **Client Requirement Management**: Support the Client Servicing Executive in understanding client requirements and helping document the scope, objectives, and preferences for events.
- **Event Proposal Support**: Assist in preparing and presenting event proposals, budgets, and timelines based on client requirements and feedback.
- **Coordination with Internal Teams**: Act as a bridge between clients and internal departments (design, production, etc.) to ensure smooth execution of event-related tasks.
- **Assist in Event Planning**: Collaborate with the event planning team to ensure client needs are met and timelines are adhered to.
- **Document Management**: Maintain and organize client-related documents such as contracts, budgets, and proposals for easy access and reference.
- **Client Follow-up**: Regularly check in with clients during the planning process to provide updates and gather feedback.
- **Event Execution Support**: Help coordinate the logistics of event day, ensuring client satisfaction and smooth operations by working with vendors and the internal team.
- **Post-Event Feedback**: Assist in gathering client feedback post-event and documenting key learnings for future improvements.
- **Administrative Support**: Manage to-do lists, task tracking, and daily coordination of activities with internal and external stakeholders.
- **Reporting**: Assist in creating progress reports, status updates, and presentations for the management team and clients.
- **Filling Proxy Gaps**: Step in for absent team members to ensure the seamless continuation of client servicing tasks.
- **Additional Tasks**: Take on any other duties assigned by the Client Servicing Executive or top management.
**Key Skills & Qualifications**:
- **Educational Background**: Bachelor's degree in Business, Marketing, Event Management, or a related field.
- **Experience**: 1-2 years of experience in client servicing, customer relations, or event management support roles.
- **Communication Skills**: Excellent verbal and written communication skills to assist in client interactions and documentation.
- **Organizational Skills**: Strong multitasking ability with great attention to detail in managing multiple projects.
- **Tech-Savvy**: Proficient in Microsoft Office (Excel, PowerPoint) and able to quickly learn and use event management tools.
- **Teamwork**: Collaborative, with the ability to work with various departments and teams effectively.
- **Client Focused**: Passionate about ensuring a great client experience, with a proactive and solution-oriented approach.
- **Time Management**: Able to manage time efficiently to ensure all client needs are met within tight deadlines.
- **Adaptability**: Flexible to adjust in a fast-paced, dynamic event management environment.
Pay: ₹12,000.00 - ₹15,000.00 per month
