Job Title: Personal Assistant to Director
Job Summary:
The Personal Assistant to the Director will provide comprehensive administrative support, ensuring the efficient operation of the Director's office. This role requires excellent organizational, communication, and problem-solving skills, along with the ability to handle sensitive information with discretion.
Key Responsibilities:
- Manage the Director's Schedule: Coordinate and manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Meeting Preparation: Prepare agendas, materials, and minutes for meetings. Ensure the Director is well-prepared for all engagements.
- Document Management: Organize and maintain confidential files and records. Draft, format, and edit reports, presentations, and other documents.
- Project Assistance: Assist with project management tasks, including tracking progress and coordinating with various departments.
- Liaison Role: Act as a point of contact between the Director and internal/external stakeholders, fostering effective communication and relationships.
- Administrative Support: Perform other administrative duties as required to support the Director's office.
Qualifications:
- Proven experience as a Personal Assistant or in a similar administrative role.
- Bachelor's degree or equivalent experience preferred.
- Exceptional organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and other relevant software.
- Strong problem-solving skills and ability to work independently.
- Professional and courteous demeanor.
