**Job Title**: Personal Assistant
**Department**: Executive Office
**Reports To**: Managing Director
**Job Summary**:
The Personal Assistant (PA) will provide high-level administrative support to senior executives, including the CEO or Managing Director, in a corporate tiles company. The role involves managing schedules, handling communications, coordinating meetings, and assisting with various tasks to ensure smooth day-to-day operations. The PA will act as a key liaison between the executive and internal/external stakeholders, ensuring efficiency and confidentiality.
**Key Responsibilities**:
**1. Calendar and Schedule Management**:
- Organize and maintain the executive’s **daily calendar**, scheduling appointments, meetings, and travel arrangements.
- Proactively manage and resolve scheduling conflicts, ensuring the executive’s time is optimized.
- Prepare and provide daily and weekly agenda briefings to the executive.
**2. Communication Handling**:
- Serve as a **point of contact** for internal and external stakeholders, ensuring efficient communication flow.
**3. Meeting Coordination**:
- Plan and organize meetings, including preparing **agendas, presentation materials**, and taking meeting minutes.
- Coordinate with different departments to gather necessary information for meetings or presentations.
- Follow up on action items from meetings, ensuring timely completion.
**4. Travel Arrangements**:
- Arrange complex domestic and international **travel itineraries**, including flights, accommodations, and transportation.
- Prepare detailed **travel schedules** and handle any changes or issues during travel.
- Manage travel expenses and prepare **expense reports** for reimbursement.
**5. Project Assistance and Task Management**:
- Assist the executive with **special projects** related to marketing, sales, or product development in the tiles industry.
- Conduct **research** and gather data on industry trends, competitors, and potential business opportunities.
- Prepare reports, presentations, and data analysis as required by the executive.
**6. Office and Administrative Support**:
- Maintain an organized filing system for documents, reports, and other confidential information.
- Monitor and order office supplies for the executive office as needed.
- Handle personal tasks for the executive when required, such as scheduling personal appointments or managing personal errands.
**7. Client and Vendor Interaction**:
- Coordinate with **clients, suppliers**, and other stakeholders in the tiles industry for meetings, inquiries, and follow-ups.
- Build and maintain strong relationships with key clients and vendors to support business development efforts.
- Assist in organizing corporate events, exhibitions, and client meetings to showcase tile products.
**8. Confidentiality and Professionalism**:
- Handle sensitive and confidential information with the utmost discretion and maintain professional integrity at all times.
- Ensure compliance with company policies and procedures in all tasks performed.
**Qualifications**:
- **Bachelor’s degree** in Business Administration, Management, or a related field. Maters is an advantage.
- **3+ years of experience** as a Personal Assistant, Executive Assistant, or similar role, Strong understanding of the corporate environment and the dynamics of the tiles industry is a plus.
**Key Skills**:
- **Excellent organizational** and time management skills, with the ability to multitask and prioritize tasks effectively.
- Strong **verbal and written communication** skills.
- High level of proficiency in **Microsoft Office Suite** (Excel, Word, PowerPoint) and calendar management tools (e.g., Google Calendar, Outlook).
- Strong **problem-solving** abilities and a proactive approach to tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to interact with clients, vendors, and employees professionally.
