**Reports to**: Event Manager / Director of Events
**Job Summary**:
The Event Coordinator is responsible for planning, coordinating, and executing a wide range of events, from corporate gatherings to social events. The role involves managing event logistics, working with vendors, overseeing the setup and breakdown of events, and ensuring client satisfaction. The Event Coordinator must be detail-oriented, organized, and capable of handling multiple tasks and deadlines.
**Key Responsibilities**:1. Event Planning & Coordination**:
- Plan and coordinate all aspects of events, including venue selection, catering, audiovisual equipment, transportation, decor, entertainment, and guest accommodations.
- Work closely with clients to understand their event goals, budget, and requirements.
- Create detailed event plans, timelines, and itineraries to ensure the smooth execution of each event.
**2. Vendor & Supplier Management**:
- Source and negotiate with vendors and suppliers for services such as catering, decor, rentals, and entertainment.
- Manage vendor relationships, contracts, and payments.
- Coordinate with vendors to ensure timely delivery and setup of all event components.
**3. On-Site Event Management**:
- Supervise the setup, execution, and breakdown of events on-site, ensuring everything is in line with the client’s specifications.
- Troubleshoot any issues that arise during the event and provide immediate solutions.
- Ensure that health and safety standards are maintained throughout the event.
**4. Budget Management**:
- Create and manage event budgets, tracking expenses to ensure events are delivered within financial constraints.
- Provide cost estimates and ensure that all purchases and vendor contracts are aligned with the approved budget.
**5. Client Communication & Satisfaction**:
- Serve as the main point of contact for clients, keeping them informed of event progress and addressing any concerns.
- Conduct pre-event meetings to review final details and make any necessary adjustments.
- Ensure high levels of client satisfaction before, during, and after the event.
**6. Event Marketing & Promotion**:
- Assist in developing promotional materials, invitations, and event programs.
- Track RSVPs and manage guest lists, ensuring that invitations are sent and responses are collected in a timely manner.
**7. Post-Event Reporting & Analysis**:
- Collect and review feedback from clients, guests, and vendors to evaluate the success of the event.
- Prepare post-event reports, including an analysis of the event’s performance and areas for improvement.
- Ensure all event-related invoices are paid and that the event is closed out financially.
**Skills & Qualifications**:
- **Education**: Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
- **Experience**:
- 2-3 years of experience in event planning, coordination, or hospitality.
- Proven track record of managing successful events.
- **Technical Skills**:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and event management software.
- Knowledge of event-specific tools such as RSVP management platforms or budget tracking software.
