**Role Overview**:
An **Event Coordinator** is responsible for planning, organizing, and executing events of various sizes and types, such as corporate meetings, conferences, social events, and festivals. The role involves liaising with clients, managing event logistics, coordinating with vendors, and ensuring smooth execution of all event-related activities.
Key Responsibilities:
- **Event Planning and Coordination**:
- Meet with clients to understand their event goals, needs, and budget.
- Plan event details, including scheduling, logistics, theme, décor, catering, and entertainment.
- Develop event proposals, timelines, and budgets, ensuring cost control and adherence to client requirements.
- **Vendor and Supplier Management**:
- Source and negotiate with vendors, suppliers, and venues for event-related services.
- Coordinate with vendors to ensure timely delivery of services, including catering, audio-visual, decoration, and entertainment.
- **On-Site Event Management**:
- Oversee all on-site event operations, including set-up, tear-down, and event flow.
- Ensure that all vendors and staff are following event timelines and meeting quality standards.
- Address any on-site issues and provide solutions to ensure the smooth execution of the event.
- **Client Liaison**:
- Serve as the main point of contact for clients before and during the event.
- Provide clients with updates on event progress, handle any changes, and ensure client satisfaction.
- **Team Coordination**:
- Supervise and coordinate the activities of event staff, including volunteers, caterers, decorators, and security personnel.
- Assign roles and responsibilities to team members to ensure smooth operations.
- **Budget Management**:
- Prepare and manage event budgets, including tracking expenses and handling payments to vendors.
- Ensure that the event is completed within the approved budget without compromising quality.
- **Event Promotion**:
- Coordinate with marketing teams to create promotional materials and content for the event.
- **Post-Event Activities**:
- Conduct post-event evaluations to gather feedback and analyze the event's success.
- Prepare reports on event outcomes, including client satisfaction, budget adherence, and overall performance.
Qualifications:
- **Education**:
- Bachelor’s degree in Event Management, Hospitality, Business, or a related field.
- **Experience**:
- 2-4 years of experience in event coordination or management.
- Experience in planning a variety of event types, including corporate, social, and nonprofit events, is preferred.
- **Skills**:
- Strong organizational and multitasking skills.
- Excellent communication and negotiation skills.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Proficiency in event management software and Microsoft Office Suite.
Pay: ₹12,000.00 - ₹20,000.00 per month
Schedule:
