
Executive Support Officer

Job Summary
We are seeking a highly skilled Executive Support Officer to join our team. The successful candidate will provide administrative support to senior executives, ensuring seamless day-to-day operations and contributing to the growth and success of our organization.
About the Role
The Executive Support Officer will be responsible for:
- Email Management: Manage email inbox, prioritize messages, draft replies, and flag urgent matters.
- Scheduling: Schedule meetings with key stakeholders, including brokers, investors, and internal team members.
- Customer Relationship Management (CRM): Own the firm's CRM system, tracking deal stages and generating pipeline reports using HubSpot.
- Research & Communication: Conduct market diligence calls with industry experts, draft monthly investor update emails and reports, and prepare concise research briefs and business memos.
- Process Development: Document and refine standard operating procedures (SOPs) for recurring tasks and firmwide business processes.
Requirements
- Bachelor's degree in Business, Finance, or a related field.
- Prior experience as an Executive Assistant, Operations Manager, or similar strategic support role.
- Strong English communication skills, both written and verbal.
- Proficiency in MS Office Suite (Excel, PowerPoint, Word).
- Ability to learn and work with software platforms like HubSpot and CoStar.
