Executive Support Professional

About the Role:

  • We seek a highly organized and experienced Executive Support professional to join our team. Reporting directly to our Chief Officer, this role provides critical support in a one-on-one working relationship.

The ideal candidate will serve as the primary point of contact for internal and external constituencies on all matters pertaining to our office. This individual will also work closely with various teams across the organization to ensure cohesive implementation of our strategic goals.

This position is responsible for providing insights and feedback to the executive team based on observations and interactions across departments.

The successful candidate will be responsible for maintaining discretion and confidentiality in relationships with senior management and board members.

Key Responsibilities:

  1. Provide administrative support to the Chief Officer, including managing calendars, preparing expense reports, and composing correspondence.
  2. Arrange complex travel plans, itineraries, and agendas; compile documents for travel-related meetings.
  3. Plan, coordinate, and ensure the Chief Officer's schedule is followed and respected.
  4. Serve as a liaison to the board of directors and senior management teams.
  5. Collaborate with the Strategic Initiatives team to coordinate outreach activities.
  6. Foster strong relationships with team members, partners, and clients to enhance collaboration and engagement.

  1. Strong organizational skills, demonstrating the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  2. Very strong interpersonal skills, with a proven ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  3. Expert-level written and verbal communication skills.
  4. Demonstrated proactive approach to problem-solving, showcasing strong decision-making capabilities.
  5. Emotional maturity and the ability to navigate complex interpersonal dynamics.
  6. Highly resourceful team player who is also effective working independently.
