This exciting role will provide administrative support to the Managing Director, ensuring seamless day-to-day operations.
About the Role
The successful candidate will be responsible for managing the Managing Director's calendar, scheduling appointments, meetings, and conference calls, and coordinating logistics to maximize efficiency. Strong communication and interpersonal skills are essential, as this individual will serve as the primary point of contact for the Managing Director, screening and prioritizing incoming calls, emails, and correspondence.
Key Responsibilities
- Calendar Management: Ensure timely and efficient management of the Managing Director's schedule, including booking appointments, meetings, and conference calls.
- Communication: Provide exceptional customer service as the primary point of contact for the Managing Director, responding to inquiries, and redirecting as necessary.
- Meeting Coordination: Coordinate internal and external meetings, prepare agendas, and distribute relevant materials in advance.
- Travel Arrangements: Book domestic and international travel, arrange transportation, and prepare detailed itineraries.
- Document Management: Draft, edit, and proofread correspondence, reports, and presentations on behalf of the Managing Director.
- Stakeholder Engagement: Build and maintain positive relationships with internal and external stakeholders, representing the Managing Director's office professionally and diplomatically.
- Event Planning: Assist in planning and coordinating company events, conferences, board meetings, and other special events.
- Confidentiality: Handle sensitive information with discretion and confidentiality.
- Prioritization: Anticipate the Managing Director's needs, prioritize tasks, and proactively address issues.
Requirements
To succeed in this role, you will require:
- A Bachelor's degree in Business Administration, Office Management, or a related field.
- A minimum of 7 years of experience as an executive assistant or administrative professional, supporting C-suite executives or senior management.
- Excellent organizational and time management skills, with the ability to multitask, prioritize tasks, and meet deadlines.
- Strong communication and interpersonal skills, with the ability to interact professionally and effectively with individuals at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management, travel booking, and expense reporting software.
- Discretion and confidentiality in handling sensitive information.
Salary Information
The salary range for this position is between $70,000 and $90,000 per annum, depending on experience.
