
Office Coordinator

The primary objective of this role is to provide administrative support to the branch office, ensuring seamless day-to-day operations.
Key Responsibilities:
- Front Office Services: Manage front office/reception services, including handling incoming/outgoing mail, phone calls, and visitor inquiries.
- Register Maintenance and Reporting: Maintain accurate records, prepare reports, and ensure timely submission to management.
- Purchase and Stationery Management: Source and procure necessary stationery supplies and equipment, ensuring optimal utilization.
- Branch Infrastructure Support: Perform routine maintenance tasks, arrange for repairs, and ensure smooth operation of electrical systems, telephone lines, and other infrastructure.
- Vendor Payment Coordination: Oversee timely vendor payments, verify invoices, and manage payment processes.
- Document Management: Ensure AMC's (Annual Maintenance Contracts) and contract copies are properly maintained at the branch level.
- Travel Arrangements: Coordinate travel arrangements, itineraries, and accommodations with the centralized travel desk.
- Space Management: Efficiently allocate seating arrangements and storage spaces to optimize workflow and productivity.
- HR Support: Provide HR-related assistance at the branch level, including partner coding, new joiner onboarding, and employee exit formalities.
Requirements:
- Preference Given: Candidates with experience in a similar role or as a branch coordinator will be given preference.
- Knowledge of Admin Role: Even if candidates lack direct admin experience, having knowledge of the admin role is essential.
- Unsuitable Profiles: Candidates from telecalling/customer care profiles, sales backgrounds, account assistants, secretaries, receptionists, telephone operators, or admin roles from educational institutions will not be considered suitable.
- Language Skills: Candidates should have basic English language skills and awareness of local languages.
