Job Description

The primary responsibility of this role is to ensure a seamless and engaging onboarding experience for new hires. This involves coordinating all aspects of the onboarding process, from welcome emails to contingency launches and monitoring.

As an Onboarding Specialist, you will serve as the key liaison between hiring managers, recruiters, and new employees to facilitate a smooth transition into the organization.

Key Responsibilities:
  1. Act as the primary point of contact for new hires during the onboarding phase, providing guidance and answering questions.
  2. Coordinate end-to-end onboarding processes, including pre-boarding, first-day logistics, and orientation.
  3. Select appropriate background check packages based on job code and location.
  4. Order drug tests according to job code and location requirements.
  5. Verify background and drug test results and provide clearance.
  6. Schedule start dates and select appropriate onboarding events in My Learning.
  7. Update candidate profiles in Workday – Ready for Hire.
  8. Send day one emails to candidates, hiring managers, and recruiters with instructions on reporting, badging, I-9, orientation, etc.
  9. Collaborate with Talent Acquisition Advisors, Hiring Managers, and business units to ensure smooth onboarding.
  10. Maintain accurate onboarding records in HR systems and update checklists, trackers, and reports as needed.
Experience:

At least 2-7 years of experience in candidate onboarding, preferably in the US but any international onboarding experience is required.

Experience with HRIS systems (e.g., Workday, SAP SuccessFactors, BambooHR) is a plus.

Skills:
  • Strong interpersonal and communication skills.
  • High attention to detail and organizational skills.
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Customer service-oriented with a positive, professional attitude.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Preferred Qualifications:
  • Experience in a shared services or global business services (GBS) environment.
  • Familiarity with onboarding automation tools or platforms.
  • Understanding of US employment laws and compliance.
Working Conditions:
  • Occasional extended work hours to meet deadlines.
  • Ability to work 24*7 shift timings.
  • Ability to deliver effective training sessions.
