Job Title: Administrative Coordinator
Job Summary:
We are seeking an experienced Administrative Coordinator to join our team at TCP Corps. The successful candidate will be responsible for managing administrative tasks, organizing office procedures, and ensuring a well-maintained and productive work environment.
Key Responsibilities:
- Manage office supplies and inventory, including ordering and stocking of materials.
- Coordinate and schedule meetings, appointments, and travel arrangements.
- Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
- Assist in the preparation of reports, presentations, and data analysis.
- Maintain and update office records, databases, and filing systems.
- Oversee office equipment maintenance and troubleshoot any operational issues.
- Support HR functions, such as new employee onboarding and maintaining employee records.
- Assist in budget tracking, expense reporting, and invoice processing.
- Ensure office policies and procedures are adhered to and suggest improvements.
- Collaborate with other administrative staff to ensure smooth office operations.
- Manage office space organization and ensure a clean and conducive work environment.
- Coordinate with external vendors and service providers for office maintenance and support.
- Assist in event planning and coordination for office-wide activities and celebrations.
- Provide general administrative support to the management team and staff as required.
Requirements:
- Proven experience as an office administrator, office assistant, or relevant administrative role.
- Proficient in using office software and applications, such as Microsoft Office suite.
- Excellent organizational and multitasking abilities to prioritize tasks effectively.
- Strong communication skills, both verbal and written, for effective interaction with internal and external stakeholders.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Detail-oriented with a high level of accuracy in performing administrative tasks.
- Knowledge of basic accounting principles and experience in handling financial tasks is an advantage.
- Proactive problem-solving skills to address day-to-day office challenges.
- High school diploma or equivalent; additional qualifications in Office Administration or related field are a plus.
- Ability to work efficiently in a fast-paced environment and adapt to changing priorities.
- Familiarity with office equipment and basic troubleshooting of technical issues.
- Strong work ethic and a proactive approach to supporting the office's operational needs.
- Ability to work independently as well as part of a team to achieve common goals.
- Flexibility and willingness to take on additional responsibilities as needed.
- Knowledge of health and safety regulations and compliance within an office environment.
