
Administrative Support Specialist

We are seeking an experienced professional to oversee the day-to-day operations of our office infrastructure, including utilities, IT systems, and vendor management.
Key Responsibilities:- Manage electricity, water, AC, ventilation, internet, CCTV, printers, and other essential office utilities.
- Ensure preventive maintenance, quick breakdown resolution, and effective SLA compliance with vendors.
- Oversee housekeeping, pantry, stationery, front desk, security, and visitor management procedures.
- Monitor hygiene standards, consumables, and office cleanliness protocols.
- Onboard new joiners by setting up desks, issuing ID/access cards, and providing basic kits.
- Manage exits, asset returns, access deactivation, and clearance processes.
- Track attendance, late entries, and exceptions accurately.
- Maintain a reliable vendor bench, negotiate costs, track AMCs, and monitor service quality effectively.
- Coordinate lease agreements, office fit-outs, repairs, and landlord escalations efficiently.
- Verify bills, reconcile petty cash, maintain records for leases, insurance, licenses, and safety certificates.
- Keep NOCs, insurance, safety certificates, and first-aid kits up to date and audit-ready at all times.
- Prepare monthly MIS reports on spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes.
- Track KPIs such as utility uptime, hygiene audit scores, ticket closure times, and budget adherence.
- Ensure late-shift office readiness and provide on-call support for urgent issues.
Requirements include 10+ years in facilities/office admin with stable tenure and clean references. Hands-on experience with utilities, IT/office infrastructure, vendors, and housekeeping is essential. Strong negotiation, documentation, and Excel/email skills are also required. Trustworthiness with keys, cash, and confidential information is mandatory.
