Job Title: Refrigeration Operations Coordinator

 

Job Description:

We are seeking a highly organized and detail-oriented Refrigeration Operations Coordinator to serve as the central point of contact for managing refrigerated container service operations.

The successful candidate will be responsible for receiving, logging, and classifying service complaints for refrigerated containers. They will also complete complaint forms referencing equipment type, act as the central contact point for the refrigerated service desk, conduct post-resolution client follow-up calls to capture feedback and validate refrigerated performance, and escalate unresolved complaints or SLA breaches to the Service Manager.

In addition, the Refrigeration Operations Coordinator will raise and track Purchase Orders for refrigerated container spare parts, upload invoices and reference complaint numbers and refrigerated container IDs, summarize costs and support accurate billing, maintain digital archives for all service-related documents, track and record service resolution times, downtime, and related data, generate weekly service performance reports, and support audits by ensuring organized and accurate service documentation.

They will also maintain the AMC database for refrigerated containers, categorize service complaints under Warranty, AMC, or Paid categories and process accordingly, coordinate preventive maintenance jobs, and ensure that all service activities are performed in accordance with company policies and procedures.

 

Key Responsibilities:
  1. Receive, log, and classify service complaints for refrigerated containers.
  2. Complete complaint forms referencing equipment type (e.g., Carrier, Thermo King, Daikin, Star Cool).
  3. Act as the central contact point for the refrigerated service desk.
  4. Conduct post-resolution client follow-up calls to capture feedback and validate refrigerated performance.
  5. Escalate unresolved complaints or SLA breaches to the Service Manager.
  6. Raise and track Purchase Orders for refrigerated container spare parts.
  7. Upload invoices and reference complaint numbers and refrigerated container IDs.
  8. Summarize costs and support accurate billing.
  9. Maintain digital archives for all service-related documents.
  10. Track and record service resolution times, downtime, and related data.
  11. Generate weekly service performance reports.
  12. Support audits by ensuring organized and accurate service documentation.
  13. Maintain the AMC database for refrigerated containers.
  14. Categorize service complaints under Warranty, AMC, or Paid categories and process accordingly.
  15. Coordinate preventive maintenance jobs.
Requirements:
  1. Graduate in Engineering/Operations (Mechanical/Electrical background preferred).
  2. 2-4 years of experience in refrigerated container service coordination or cold chain service industry.
  3. Strong understanding of refrigerated container systems.
  4. Knowledge of reefer alarms, PTI procedures, and temperature calibration.
  5. Experience in spare parts sourcing, warranty, and AMC handling.
  6. Proficiency in MS Office and ERP systems for service tracking and reporting.
  7. Excellent organizational, communication, and client management skills.
