Operations Support Specialist

Job Description:

Our company is seeking an Operations Support Specialist to serve as the central point of contact for managing refrigerated container service operations.

  • Manage and coordinate complaint resolution, technician deployment, spare parts procurement, and client communication to maintain perishable cargo integrity and meet service quality standards.
  • Act as the primary point of contact for reefer container service queries and concerns.

Key Responsibilities:

Complaint Management & Communication

  • Log, classify, and process reefer container service complaints in a timely manner.
  • Escalate unresolved complaints or SLA breaches to the Service Manager for prompt resolution.

Procurement & Billing Support

  • Source, procure, and track Purchase Orders (POs) for reefer container spare parts and consumables.
  • Accurately upload invoices and reference complaint numbers and reefer container IDs for seamless billing and reconciliation.

Documentation & Reporting

  • Maintain digital archives for all service-related documents, including POs, invoices, GRNs, and test run reports.
  • Generate weekly service performance reports on open/closed jobs, TAT, spares usage, and other relevant metrics.

Contract & AMC Management

  • Update and manage the AMC database for reefer containers, ensuring contract renewals and schedules are accurately maintained.
  • Process service complaints under Warranty, AMC, or Paid categories according to established protocols.

Requirements:

  • Bachelor's degree in Engineering, Operations, or a related field with a background in mechanical or electrical engineering preferred.
  • At least two years of experience in reefer container service coordination or the cold chain service industry.
  • Strong knowledge of reefer container systems, PTI procedures, and temperature calibration.
  • Experience in spare parts sourcing, warranty, and AMC handling.
  • Proficiency in MS Office and ERP systems for service tracking and reporting.

Performance Metrics:

  • SLA compliance and reduction in container downtime.
  • Accuracy and completeness of service documentation and reports.
  • Spare parts availability and turnaround efficiency.
  • Customer satisfaction scores related to reefer service.
  • AMC renewal rate and preventive maintenance execution
