Job Title: Facilities Coordinator

About the Role:

This role involves taking ownership of managing facilities and operations, including direct reporting to a senior administrator. You will be responsible for monitoring and reporting key project activities, plans, and progresses, as well as ensuring zero incidents on examination day related to administrative services.

Main Responsibilities:

  • Complete ownership of managing facilities/operations & administration team
  • Defining scope and Key Result Areas (KRAs) of team members
  • Communicate and coordinate with immediate management for daily activities
  • Direct reporting to senior administrator – TCSiON on daily activities, incident management etc.
  • Monitoring and reporting of key project activities, plans, and progresses
  • Managing calls and discussions
  • End-to-end examination day and non-examination day administrative activities management and team coordination
  • Ensuring zero incidents on examination day related to administrative services
  • Help in recruitment, training, and talent development of team members
  • Define and deploy control and monitoring mechanisms for the administration team within the facility
  • Training and development of the administration team within the facility
  • Ensure standardization of processes at all examination venues within the facility
  • Vendor management, support senior administrator in finalizing contracts, vendor invoices
  • Publish regular dashboards on key performance parameters to senior administrators and senior management on need basis
  • Central point of contact for all facility-related matters within the facility
  • Ensure Service Level Agreements (SLAs) / Service Level Credits (SLCs) at examination venues
  • Governance over vendors/LISP partners, regular meetings, and closure of audit points
  • Deployment of ad-hoc/contract manpower at examination venues
  • Help/support in shortlisting prospective partners/venues identified based on defined parameters within the region
  • Maintain and monitor legal compliances for all venues
  • Prepare and deploy contingency/ Business Continuity Plans (BCPs)
  • Surprise checks at examination venues
  • Handle crisis situations
  • Coordinate and manage with manpower agencies on deployment and other staff-related issues & compliances
  • Conduct audits of examination venues
  • Any other duties assigned from time to time

Requirements:

  • Good communication skills (written/verbal)
  • Strong technical knowledge of electrical equipment
  • Experienced in soft services facility management
  • Experience in facility operations and management
  • Must have managed a team
  • Experience in conflict management
  • Willing to work, learn, and perform under extreme pressure
  • Willing to travel
  • Good liaisoning with police and other local government departments
  • Aware of laws related to facility compliance and operations
