Executive Associate Role

A dynamic and challenging role that combines executive assistance, project management, personal training, and lifestyle optimization.

Key Responsibilities:
  • Manage the calendar, fitness schedule, travel, and personal logistics efficiently.
  • Drive the Founder to meetings, events, and personal commitments on time.
  • Track birthdays, social events, and personal commitments; ensure timely execution.
  • Refill and organize personal supplies (supplements, grooming items, essentials) regularly.
  • Ensure car cleanliness, servicing, and maintenance schedules are met.
  • Handle gifting, printing, parcel pickups/deliveries, and event coordination with ease.
  • Coordinate with external vendors, service providers, and partners effectively.
  • Lead operational execution: schedules, workflows, communications, and follow-ups with precision.
  • Track attendance, payroll, payouts, and team bandwidth accurately.
  • Ensure clear meeting documentation: notes, insights, and actionable follow-ups.
  • Use Notion, Asana, Google Workspace, and AI tools to streamline workflows seamlessly.
  • Partner with the Founder on brand strategy, pitches, and business development initiatives.
  • Conduct research, audits, and prepare strategic presentations with confidence.
  • Monitor accountability across stakeholders and projects closely.
  • Conduct daily personal training sessions as required, ensuring safety and effectiveness.
  • Design and adapt fitness programs, track progress, and ensure safe, effective sessions.
Qualifications:
  • A graduate degree in Business, Management, or related fields is preferred.
  • 1-2 years of experience in EA, operations, or support roles is necessary.
  • Certified personal trainer (preferred) or demonstrable training experience is essential.
  • A valid driving license is mandatory.

  • A first-in, last-out attitude with strong personal ownership is crucial.
  • High reliability, punctuality, and trustworthiness are expected.
  • Strong organization, communication, and project management skills are vital.
  • Knowledge of fitness training and wellness practices is necessary.
  • Calm under pressure, adaptable to shifting priorities, and a proactive problem-solver with high ownership and confidentiality is required.
