
Director Support Specialist

This role involves providing high-level secretarial support to the Executive Director.
- Key Responsibilities:
- Manage the director's schedule, including setting up appointments, scheduling meetings, and arranging travel plans.
- Communicate with stakeholders on behalf of the director, answering phone calls, responding to emails, and drafting correspondence.
- Coordinate with project offices and factories for collecting management information (MIS).
- Act as the first point of contact for callers, dealing with emails and phone calls, passing and highlighting them to the Executive Director.
- Remind the Executive Director of important tasks, meetings, and deadlines.
- Receive incoming communication on behalf of the Executive Director, review information, determine importance, and summarize or share contents to appropriate staff.
- Prepare meeting agendas, create presentation materials, and ensure that all necessary materials are available for the meeting. Prepare minutes of the meeting.
- Coordinate with internal and external stakeholders on behalf of the Office of the Executive Director.
- Collate and compile MIS and technical information.
- Handle administrative tasks such as maintaining files and records, organizing documents, and preparing reports.
- Maintain contacts, business cards, and guest lists.
- Prepare minutes of meetings (MOM) and circulate them to concerned departments.
- Work on consolidating critical MIS by taking appropriate inputs from various zones and heads of departments.
- Handle office correspondence and administrative tasks, including email, postal, and telephonic correspondences, and drafting of letters and important communications.
- Maintain office stationery and necessary office supplies.
- Book and arrange travel, visa, transport, and accommodation.
- Perform any other tasks assigned by management from time to time.
