
Director's Support Officer

This role is responsible for providing high-level secretarial support to the Executive Director. The successful candidate will be able to manage multiple tasks and priorities, communicate effectively with stakeholders, and maintain confidentiality in all interactions.
Main Responsibilities:
- Provide administrative support to the Executive Director, including scheduling appointments, coordinating meetings, and preparing travel arrangements.
- Communicate with internal and external stakeholders on behalf of the Executive Director, handling phone calls, emails, and correspondence.
- Coordinate with project offices and factories to collect MIS (Management Information Systems) data.
- Act as the first point of contact for callers, dealing with emails and phone calls, and passing information to the Executive Director as necessary.
- Remind the Executive Director of important tasks, meetings, and deadlines.
- Receive and review incoming communication, determine its importance, and summarize or share relevant information with appropriate staff members.
- Prepare meeting agendas, create presentation materials, and ensure all necessary documents are available for meetings.
- Coordinate with internal and external stakeholders on behalf of the Office of the Executive Director.
- Compile and collate MIS and technical information.
- Perform administrative tasks such as maintaining files and records, organizing documents, and preparing reports.
- Maintain contacts, business cards, and guest lists.
- Prepare minutes of meetings and circulate them to concerned departments.
- Consolidate critical MIS by taking inputs from various zones/HODs.
- Handle office correspondence and administrative tasks, including email, postal, and telephonic correspondences, and drafting letters and communications.
- Maintain office stationery and supplies.
- Book and arrange travel, visas, transportation, and accommodation.
Required Skills and Qualifications:
- High school diploma or equivalent required; associate's degree or higher preferred.
- Minimum 2 years of experience in a similar role.
- Excellent communication and organizational skills.
- Ability to work in a fast-paced environment and prioritize multiple tasks.
- Proficient in Microsoft Office Suite and other productivity software.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently and as part of a team.
