
Director Liaison Officer

This is a senior-level administrative role that involves providing high-level support to the Director. The ideal candidate will have excellent organizational skills, be highly proactive and able to work effectively in a fast-paced environment.
- The Executive Assistant will be responsible for coordinating and following up on various tasks assigned by the Director, ensuring timely completion and accuracy of results.
- They will also assist the Director in researching and taking action on matters within their responsibility, chasing responses and triggering follow-up actions as necessary.
- In addition, the Executive Assistant will be responsible for reminding the team of important tasks and deadlines, managing the Director's electronic diary and prioritizing appointments accordingly.
- They will maintain scheduling of events, organize meetings and prepare agendas, pre-meeting briefings and minutes of meetings.
- The Executive Assistant will also process the Director's correspondence, ensuring incoming correspondence is dealt with promptly and efficiently.
- They will supervise all Trust incoming/outgoing mail and maintain the Director's office systems, including data management and filing.
- Furthermore, the Executive Assistant will produce documents, briefing papers, reports and presentations for the Director.
Key Responsibilities:
- Coordinating and following up on tasks assigned by the Director
- Assisting the Director in researching and taking action on matters within their responsibility
- Managing the Director's electronic diary and prioritizing appointments
- Maintaining scheduling of events
- Organizing meetings and preparing agendas, pre-meeting briefings and minutes of meetings
- Processing the Director's correspondence
- Supervising all Trust incoming/outgoing mail
- Maintaining the Director's office systems
Requirements:
- Excellent organizational skills and ability to work effectively in a fast-paced environment
- Highly proactive and able to prioritize tasks efficiently
- Strong communication and interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Proficiency in using Microsoft Office applications
