Key Responsibilities:
  • Greeting and Welcoming Visitors: Ensure all visitors sign in the visitor's book and inform relevant staff members of their arrival.
  • Reception Area Maintenance: Monitor and maintain a tidy and business-like reception area, keeping records of staff and visitor sign-ins and sign-outs.
  • Telecommunications: Operate the EPABX phone system, receiving and transferring calls, taking brief messages, and passing them to staff members. Report telephone equipment and line faults to the Administration Head.
  • Staff and Visitor Management: Review and update staff contact and telephone extension lists regularly. Check and sign for deliveries, informing relevant staff members of their arrival and maintaining proper records.
  • Postal and Courier Management: Manage all postal and courier systems, including inward and outward mail, checking PODs, and maintaining an Excel sheet for invoice checking.
  • Visitor Record Keeping: Record all visitors entering and leaving the office.
