Job Title: Facility Executive - Urban Luxury Experience CoordinatorAbout the Role

The Facility Executive - Urban Luxury Experience Coordinator will assist the Residential Leader with day-to-day administrative duties of the Residential division. This includes organization, scheduling, purchase orders, daily labor reports, and reconciling work orders and billing processes for in-house services provided to homeowners, all in accordance with Four Seasons luxury service standards.

This role requires a highly organized and detail-oriented individual who can work effectively in a fast-paced environment. The successful candidate will possess excellent communication and interpersonal skills, with the ability to build strong relationships with residents, colleagues, and external partners.

Duties and Responsibilities
  • Performs all administrative duties of the division, including purchase orders, payroll, scheduling, inventory management, and daily labor reports.
  • Prepares written correspondence on behalf of the Residential Leader for approval.
  • Cordinates move-in dates with the Director of Residences for all residents.
  • Cordinates the booking of the service elevator for move-in.
  • Conducts pre-site tours with moving companies.
  • Maintains homeowner profiles within building management systems.
  • Handles residents' complaints in the absence of the Residential Leader, determines action to be taken, and follows up as required.
  • Cordinates any à la carte service requests and ensures accurate billing.
  • Cordinates the opening of units to trades and contractors after authorization has been received, with the assistance of security personnel.
  • Builts relationships with residents and safeguards assets and resources of the Association.
  • Produces a residence hotel spend report monthly.
  • Complies with and enforces Four Seasons' guidelines, policies, and procedures.
  • Assists in building/property orientations as needed.
  • Assists in walk-throughs of the buildings on a regular basis.
  • Reports any discrepancies to the Residential Leader.
  • Works harmoniously and professionally with coworkers and supervisors.
  • Assists in completing special projects, which may include mailings, competitive surveys, menus, or other assigned duties.
  • Maintains a master list of owners and tenants and their respective contact information.
  • Maintains a clean, neat, and organized workspace and file storage system.
  • Assists the Residential Leaders in maintaining policy and procedure manuals; updates and distributes as necessary.
  • Makes sure all contracts and governmental documents are stored properly for any tax, external, and internal audit inquiries.
  • Maintains the HOA asset list.
Additional Responsibilities
  • Ensures common areas of the buildings are in optimal conditions at all times.
  • Covers short periods of time at the Residential Concierge desk and assists in any type of crunch in both residences and hotel operations when required.
  • Assists Guest Service Agents with responsibilities and duties in their absence or due to heavy volume periods.
  • Performs other tasks or projects assigned by the Director of Residences/Residence Manager.
  • Aware of emergency procedures in place.
  • Able to create reports.
Required Skills and Qualifications
  • Fluent in English, reading and writing.
  • Computer proficiency – (Excel, MS Word, etc...).
Experience

One to three years of employment in the related position with Four Seasons or other organizations.

Education

Bachelors in Hospitality/Graduate from a reputable university.

Estimated Salary

$80,000 - $110,000 per year, depending on experience and qualifications.
