Job Description:

We are seeking a highly organized and detail-oriented Administrative Operations Coordinator to join our team.

The ideal candidate will have excellent communication skills, both written and verbal, and be able to work effectively in a fast-paced environment.

The successful candidate will be responsible for coordinating office supplies, travel arrangements, and vendor management, as well as providing administrative support to the team.

Key Responsibilities:

  • Coordinate and manage office supplies, printing stocks, and place orders after negotiations.
  • Arrange travel and accommodations for the team, including booking flights, hotels, and trains.
  • Finding vendors for food, vehicles, projectors, etc. in different parts of the country to support program needs.
  • Negotiate the best rates for the organization while ensuring quality services.
  • Organize a filing system for important and confidential company documents.
  • Be available to answer queries by employees on travel updates.
  • Need to be available for last-minute bookings – at times on weekends.
  • Book meeting rooms as required.
  • Distribute and store correspondence (e.g. letters, emails, and packages).
  • Supervise, monitor, and guide junior staff.
  • Support other teams for day-to-day requirements.
  • Ensure venue/hall bookings in advance for quarterly/annual reviews, events, etc.

Required Skills and Qualifications:

Proactive Approach: A proactive attitude with a focus on solving problems and finding solutions.

Problem-Solving Attitude: Strong analytical and problem-solving skills, with the ability to think critically and make sound decisions.

Negotiation Skills: Excellent negotiation skills, with the ability to negotiate effectively with vendors and stakeholders.

Educational Qualification:

Bachelor's degree with 5 to 6 years of relevant field preferred.

Desired Experience:

Proven experience as an Administrative Executive, Travel Desk, or similar role.

Proficient in MS Office:

Proficient in MS Office (MS Excel and MS PowerPoint, in particular).

Excellent Organizational and Multitasking Abilities:

Excellent organizational and multitasking abilities, with the ability to prioritize tasks and manage multiple projects simultaneously.

Negotiation Skills:

Excellent negotiation skills, with the ability to negotiate effectively with vendors and stakeholders.

A Keen Eye for Detail:

A keen eye for detail, with the ability to review and edit documents accurately.

Strong Communication Skills:

Strong communication skills, both written and verbal, with the ability to communicate effectively with colleagues, stakeholders, and clients.

Integrity and Professionalism:

High levels of integrity and professionalism, with a commitment to upholding the organization's values and standards.

Location:

Goregaon East - Mumbai.

Salary Range:

30000/- Per month or above (Based on experience) + 5000 Travel Reimbursement + 2000 Therapeutic Reimbursement + 5000 Annual Training Reimbursement.
