Job Overview

We are seeking a highly organized and detail-oriented Invoicing Specialist to join our team.

This role is ideal for individuals with excellent communication skills, who can work effectively in a fast-paced environment and prioritize tasks efficiently.

Key Responsibilities:
  • Prepare and issue invoices to customers in a timely manner.
  • Meet invoice delivery deadlines while ensuring accuracy and attention to detail.
  • Enter invoices into customer invoicing websites and submit them via electronic data interchange.
  • Understand key areas of invoicing specific to each customer and ensure compliance.
  • Verify each field on the invoices before submission to prevent errors.
  • Maintain accurate records of supporting documents and backups attached to invoices.
  • Update Navision with invoice submission status in a timely manner.
  • Manage invoice submission logs and customer invoicing process files as reference materials.
  • Collaborate closely with payroll & invoicing teams to streamline the invoice submission process.
  • Send statements of accounts to customers and reconcile self-billed cases with customer-approved timesheets.
  • Handle invoice rejections and credit/rebills efficiently.
  • Maintain standard operating procedures (SOP) for the invoicing process, account-wise, and update them regularly.
  • Provide continuous support for improving invoicing platforms.
  • Assist credit control in invoicing and collection of payment.
Requirements:
  • Detailed knowledge of invoicing processes and procedures.
  • Excellent organizational and time management skills.
  • Ability to work accurately under pressure and meet deadlines.
  • Strong communication and interpersonal skills.
  • Familiarity with electronic data interchange and customer invoicing websites.
  • Able to maintain confidentiality and handle sensitive information.
