**Invoicing Associate Job Description:**

  • Job Summary: We are seeking a skilled Invoicing Associate to join our team. The successful candidate will be responsible for preparing and issuing invoices to customers, ensuring timely and accurate delivery.

**Key Responsibilities:*

  • Prepare and Issue Invoices: Prepare invoices accurately and efficiently, adhering to company standards and guidelines.
  • Meet Invoice Delivery Timelines: Ensure invoices are delivered to customers on time, meeting all relevant deadlines.
  • Enter Invoices into Customer Invoicing Websites: Enter invoices into customer invoicing websites, verifying accuracy and completeness.
  • Submit Invoices Electronically: Submit invoices electronically, utilizing data interchange systems.
  • Understand Key Areas in Invoicing: Develop a thorough understanding of key areas in invoicing specific to customers.
  • Check Each Field on the Invoices: Verify each field on the invoices before submission, ensuring accuracy and completeness.
  • Ensure Support and Backups: Ensure all support and backups are in place and attached to invoices.
  • Update Invoice Submission Status: Timely update invoice submission status in Navision, maintaining accurate records.
  • Maintain Invoice Submission Logs: Maintain logs of invoice submissions and customer invoicing process files as reference.
  • Work with Payroll & Invoicing Team: Collaborate closely with the payroll & invoicing team to accelerate the invoice submission process.
  • Send Statements of Accounts: Send statements of accounts to customers, reconciling self-billed cases with approved timesheets.
  • Handle Rejections and Credit/Rebills: Handle invoice rejections and credit/rebill requests, resolving issues promptly.
  • Maintain SOP/Standard Guide: Maintain standard operating procedures (SOP) for complete invoicing processes account-wise.

**Requirements:**

  • Minimum 2 Years of Relevant Experience: Possess a minimum of two years of relevant experience in invoicing.
  • Excellent Communication Skills: Demonstrate excellent written and oral communication skills.
  • Hands-on Experience with Microsoft Excel: Possess hands-on experience with Microsoft Excel, including formulas, V-lookup, and Pivot Tables.
  • Analytical & Process Knowledge: Display good analytical and process knowledge.
