Job Overview

The Administrative Executive plays a crucial role in ensuring the seamless operation of various services within our manufacturing environment. This position requires an individual with exceptional organizational skills, strong communication abilities, and the capacity to multitask effectively.

Main Responsibilities
  • Canteen Services Management:
    • Oversight of day-to-day canteen operations, ensuring timely delivery of food and adherence to quality standards.
    • Coordination with vendors and suppliers for food procurement, prioritizing hygiene and safety protocols.
    • Maintenance of inventory levels, ensuring timely orders and effective stock rotation.
    • Ensuring a clean, safe, and welcoming environment for employees.
    • Addressing employee concerns regarding food quality, availability, or dietary requirements.
    • Assisting in organizing special meals or events, such as company celebrations or meeting catering.
    • Evaluation of compliance with food safety regulations and company policies.
  • Transportation Services Management:
    • Oversight of transportation coordination, including shuttle schedules and vehicle maintenance.
    • Optimization of transportation schedules to meet employee needs, including designated pick-up and drop-off points.
    • Effective communication with transportation vendors or in-house drivers to ensure timely and safe transportation.
    • Monitoring and addressing transportation-related concerns, such as delays, vehicle maintenance, and safety protocols.
    • Maintenance of accurate records related to routes, schedules, and employee attendance on transportation.
  • Housekeeping Services Management:
    • Supervision and coordination of housekeeping services within the facility, ensuring cleanliness and hygiene standards are met.
    • Scheduling and supervision of cleaning staff for daily, weekly, and periodic tasks (e.g., office spaces, production areas, restrooms).
    • Ensuring all areas, including office spaces, meeting rooms, production floors, and common areas, are maintained to a high standard of cleanliness.
    • Monitoring housekeeping inventory and ensuring timely reordering of supplies and equipment.
    • Evaluation of compliance with safety and cleanliness protocols, including proper disposal of waste and hazardous materials.
    • Addressing any housekeeping-related concerns or issues raised by employees or management.
  • Vendor and Contractor Coordination:
    • Management of relationships with third-party vendors and contractors for canteen, transportation, and housekeeping services.
    • Ensuring service contracts are up-to-date and compliant with company policies.
    • Evaluation of vendor performance and implementation of necessary actions to improve service quality or resolve issues.
  • Employee Support and Communication:
    • Serving as the primary point of contact for employees regarding transportation, canteen, and housekeeping services.
    • Addressing employee feedback and resolving any service-related issues promptly.
    • Providing timely and clear communication to employees regarding changes in schedules, services, or policies.
  • Budget and Cost Control:
    • Assistance in preparing and managing the budget for canteen, transportation, and housekeeping services.
    • Monitoring expenses and identifying opportunities for cost savings without compromising service quality.
    • Ensuring services are delivered within budgetary constraints and company policies.
  • Safety & Compliance:
    • Ensuring all services comply with workplace safety, health, and hygiene regulations.
    • Supporting initiatives to enhance employee safety and overall well-being related to canteen, transportation, and housekeeping services.
    • Maintenance of accurate records related to compliance, safety inspections, and audits.
    Qualifications & Skills
    • Education:
      • Bachelor's degree in Facility Management or a related field is preferred.
    • Experience:
      • 3+ years of administrative experience, preferably in a manufacturing environment or managing similar services (canteen, transportation, housekeeping).
    • Skills:
      • Strong organizational and multitasking abilities.
      • Excellent communication and interpersonal skills.
      • Ability to manage multiple vendors and coordinate various services.
      • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
      • Experience in managing budgets and cost control.
      • Problem-solving skills and ability to manage service issues effectively.
      • Knowledge of workplace health, safety, and hygiene regulations is a plus.
