The Front Office serves as the primary point of contact for clients and visitors, setting the tone for a professional and welcoming atmosphere.
Key Responsibilities:
- Manage incoming calls with efficiency by utilizing call forwarding protocols.
- Welcome and assist visitors with professionalism, providing exceptional customer service.
- Maintain a well-organized and presentable front desk area at all times, ensuring a seamless experience for clients.
- Coordinate and distribute correspondence in a timely manner, both electronic and paper-based.
- Schedule meetings and appointments according to established schedules.
- Perform administrative tasks, including data entry and record maintenance, with accuracy and attention to detail.
- Oversee office supplies and maintain adequate stock levels to meet operational needs.
Essential Skills:
- Demonstrate proficiency in Microsoft Excel for handling data and generating reports.
- Exhibit strong call management skills, efficiently handling, forwarding, and managing calls.
- Possess excellent communication and interpersonal skills, fostering positive relationships with clients and colleagues.
- Showcase ability to multitask and work effectively in fast-paced environments, prioritizing tasks and managing time accordingly.
- Display strong organizational and time management skills, meeting deadlines and delivering results.
Favorable Qualifications:
- Previous experience in a front-office or receptionist role is preferred.
- Familiarity with general office equipment and procedures is beneficial.
