Job Title: Compliance Administrator
">About the Role:
">This role is responsible for providing essential administrative support to the compliance function. The successful candidate will ensure the effective coordination, maintenance and documentation of compliance activities across the institution.
">The role involves managing compliance registers, supporting audits, handling data requests and maintaining up-to-date compliance records in line with higher education regulations and UK GDPR. This includes monitoring deadlines and ensuring timely submission of statutory returns or compliance actions.
">Key Responsibilities:
">- Assist the Head of Compliance in day-to-day management of compliance obligations.
">- Maintain compliance trackers and logs (e.g., risk register, GDPR incident log, training completion log, policy review calendar).
">- Monitor deadlines and ensure timely submission of statutory returns or compliance actions.
">Documentation & Records Management:
">- Maintain accurate records of data processing activities (RoPA), data breaches and near misses, subject rights requests (e.g., DSAR log) and policy reviews and updates.
">- Support in drafting, formatting and publishing internal policies and procedures.
">Data Protection Administration:
">- Support handling of Data Subject Access Requests (DSARs) requests.
">- Ensure all records of consent, privacy notices and data processing agreements are properly archived and accessible.
">Reporting & Audit Preparation:
">- Collate documentation and evidence for internal and external audits or inspections.
">- Generate monthly and quarterly compliance status reports and dashboards for internal use.
">Staff Training & Awareness:
">- Monitor and report on completion rates of mandatory compliance training.
">- Provide administrative support for scheduling and tracking training, webinars and briefings.
">Cross-Departmental Liaison:
">- Coordinate with departments such as IT, Registry, HR, Academic Governance and Marketing to gather compliance inputs.
">- Work with the IT team to support the Head of Compliance in tracking cybersecurity compliance measures.
">Essential Qualifications & Experience:
">- At least 5 years experience in an administrative or compliance support role.
">- Excellent organizational skills with attention to detail and record-keeping.
">- Strong written and verbal communication.
">- Familiarity with data protection principles under UK GDPR.
">- Competent in using Microsoft Office (Word, Excel, Outlook, Teams).
">Working Relationships:
">- Reports to: Head of Compliance.
">- Works closely with: Compliance, Registry, HR, IT and Academic Quality Team etc.
