As the Assistant Front Office Manager, you will oversee and direct all aspects of front office operations at Accor Hotel. This is a leadership role that requires supervision and coordination of front office health and safety of staff and guests.

Key Responsibilities:

  • Prepare and manage weekly and monthly forecasts as required.
  • Implement procedures that enhance the smooth operation of the front office department.
  • Conduct weekly and monthly departmental meetings to ensure effective communication and coordination.
  • Monitor and implement availability in all reservations systems to maximize revenue.
  • Ensure timely communication of arrivals and departures, and VIP reports to relevant department heads.
  • Record and track activities of interest or problems arising in the management diary.
  • Oversee the handling of wake-up calls and ensure they are made promptly.
  • Regularly review room availability and guest information to ensure seamless check-in and check-out processes.
  • Record and submit guaranteed non-arrivals to the Asst. Front Office Manager or Front Office Manager.
  • Process and distribute relevant forms in case of accidents or theft, liaising with the Security department.
  • Record and hand over lost or found items to Housekeeping or Security.
  • Verify and reconcile daily credit card postings and interface transfers.
  • Ensure accurate entry of guest country codes, special codes, promotions, room rates, and routing instructions.
  • Authorize and sign paid-out vouchers and rebates issued by reception.
  • Perform night audit duties as required by policy and procedures.
  • Prepare taxi lists in conjunction with Security for late or early staff.
  • Prepare recapitulation sheets for the Planning Committee.
  • Handle all incoming faxes and inquiries after office hours.
  • Ensure the confidentiality and security of guest information.

Requirements:

  • High School Diploma or equivalent required.
  • College Degree in Business, Hospitality, or a related field preferred.
  • Experience in a public contact position, preferably in an upscale or lifestyle brand hotel.
  • Proficiency in using computers and/or point of sales systems.
  • A gracious, friendly, and fun demeanor.
  • Ability to multitask, work in a fast-paced environment, and maintain a high level of attention to detail.
  • Strong verbal and written communication skills in English.
  • Maintain positive and productive working relationships with other employees and departments.
  • Ability to work independently and partner with others to promote a team environment.
  • Thorough knowledge of federal, state, and local laws governing equal employment opportunity and civil rights, occupational safety and health, wage and hour issues, and labor relations.

Preferred Requirements:

  • Proven supervisory experience within a Front Office position in a 5-star environment.
  • Proficiency in standard PC packages and computerized systems.
  • Full command of the English language.
  • Ability to communicate with customers and peers with a friendly and positive attitude.
  • Self-motivated and flexible.
  • Physically fit.
  • Lively and enthusiastic.
  • Ability to handle difficult situations successfully.
