Job Title: Senior Administrative ManagerOverview:

This role involves overseeing daily administrative operations to ensure smooth functioning of office services and tasks.

  • The successful candidate will oversee maintenance and upkeep of office facilities, including liaison with external vendors and contractors.
  • They will also be responsible for coordinating office moves, seating arrangements, and space planning.

Key Responsibilities:

  1. Oversee daily administrative operations to ensure smooth functioning of office services and tasks.
  2. Provide direct support to senior leadership, including scheduling, meeting organization, and document preparation.
  3. Act as primary point of contact for all office inquiries, requests, and issues.
  4. Maintain office supplies inventory and ensure equipment is in good working order.
  5. Coordinate events, meetings, and conferences.
Team Leadership and Supervision:

The successful candidate will be responsible for supervising and guiding administrative staff to ensure accurate and efficient task completion.

  • They will provide training and mentorship to new employees.
  • Develop workflows, processes, and procedures to optimize team performance.
  • Conduct performance reviews and assist in career growth planning.
Facilities Management:

The role involves maintaining accurate records of office activities and expenditures.

  • Assist in preparing reports, presentations, and materials for senior leadership.
  • Ensure compliance with company policies and regulations.
Process Improvement:

The successful candidate will identify areas for improvement and implement solutions to increase efficiency.

  • Work with management to streamline procedures and improve workflows.
Confidentiality and Compliance:

The role requires handling sensitive information with discretion.

  • Ensure compliance with company policies and legal requirements.
Special Projects:

The successful candidate will lead or participate in special projects as required by management.

  • Assist in developing and implementing new systems or technologies.
Qualifications:
  • Bachelor's degree in Business Administration or related field (preferred).
  • Minimum 8+ years in an administrative role, with at least 4-5 years in a supervisory capacity.
  • Proven experience managing office operations and facilities.
  • Strong background in supporting senior management and cross-functional teams.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite and office management software.
