Job Role:
The Head of Operations is a leadership position responsible for overseeing and optimizing the day-to-day operations of the office, ensuring seamless functionality and alignment with organizational goals.
This role requires a comprehensive understanding of office operations including HR, Admin, Finance, Projects, Procurement, and Support Teams. The ideal candidate will ensure efficiency, timely task execution, clear communication, and strong coordination between all internal functions.
Main Responsibilities:
- Office Operations Management
- Oversee daily operations within the corporate office environment.
- Ensure proper functioning of departments such as Administration, Human Resources, Finance, Sales Support, Procurement, and Projects.
- Supervise administrative processes including documentation, asset management, office supplies, and team logistics.
- Interdepartmental Coordination
- Align work between various verticals to ensure smooth workflows and efficient project delivery.
- Track cross-functional tasks, identify roadblocks, and ensure timely resolution through effective communication.
- Maintain close coordination between field operations and office support teams.
- Office Systems & Process Optimization
- Develop and implement standard operating procedures (SOPs) for all office functions to enhance productivity and efficiency.
- Standardize document control, filing systems, and reporting formats to streamline operations.
- Identify inefficiencies and implement process improvements across all departments to drive business excellence.
- Monitoring & Reporting
- Review daily, weekly, and monthly reports from all departments to track performance and progress.
- Prepare consolidated dashboards and updates for senior management to inform strategic decisions.
- Monitor internal KPIs related to operations, productivity, and project delivery support to measure success.
- Team Oversight & Task Allocation
- Allocate and monitor tasks to department heads or coordinators to ensure timely completion and effective resource utilization.
- Follow up on deadlines, pending work, and escalated issues to maintain momentum and resolve conflicts.
- Ensure that team members are adequately supported and resourced to excel in their roles.
- Compliance, Discipline & Office Policies
- Ensure adherence to organizational policies, rules, and guidelines to maintain a positive work culture.
- Maintain discipline, attendance, and punctuality within the office to promote a productive work environment.
- Work closely with HR for employee engagement, conflict resolution, and training needs to foster growth and development.
- Communication & Escalation Handling
- Act as the central point of communication between departments and top management to facilitate information exchange and collaboration.
- Handle operational escalations and ensure timely resolution through effective problem-solving and issue escalation protocols.
- Conduct regular coordination meetings with department heads to discuss progress, address concerns, and align efforts towards shared goals.
