Facilities and Office Operations Manager

\

We are seeking an experienced professional to oversee the day-to-day operations of our office facilities, ensuring a safe, secure, and efficient working environment.

\

Responsibilities will include managing electricity, water, air conditioning, ventilation, internet, CCTV, printers, fire safety, and other office utilities. This role requires strong organizational and problem-solving skills, with the ability to negotiate with vendors and coordinate with various stakeholders.

\

The successful candidate will have at least 10 years of experience in facilities administration, with expertise in utilities, IT infrastructure, vendors, and housekeeping. Strong negotiation, documentation, and Excel/email skills are essential for this position.

\

As a trusted individual, you will be responsible for maintaining confidentiality and handling sensitive information with discretion. You will also be expected to work effectively as part of a high-performing team in a collaborative culture.

Key Responsibilities:

  • Manage office utilities, including electricity, water, air conditioning, ventilation, internet, CCTV, printers, and fire safety\
  • Ensure preventive maintenance, quick breakdown resolution, and vendor SLA compliance\
  • Oversee daily office operations, including housekeeping, pantry, stationery, front desk, security, and visitor management\
  • People and access management, including onboarding new joiners, managing exits, asset returns, access deactivation, and clearances\
  • Vendors, leases, and projects, including maintaining a reliable vendor bench, negotiating costs, tracking AMCs, and monitoring service quality\
  • Bills, cash, and records, including verifying bills, reconciling petty cash, and maintaining records for leases, insurance, licenses, and safety certificates\
  • Compliance and safety, including keeping NOCs, insurance, safety certificates, and first-aid kits up to date and audit-ready\
  • Reporting and KPIs, including preparing monthly MIS, tracking KPIs, and providing after-hours readiness and on-call support for urgent issues\
